01

Can an old approved profile be sent straight to a family?

First confirm that the candidate wants a new search and that schedule, location, compensation, experience, and work preferences are current. Review the agency's required screening items and their age under its own policy. A past approval does not prove that every record is current or that the candidate still consents to being presented.

02

What should be refreshed before presentation?

Update the resume or work history, availability, role preferences, references where appropriate, and any documents the agency requires for this role. Record when each item was checked and who checked it. Apply the same standard to similarly situated candidates rather than making ad hoc exceptions for familiar people.

03

What if the candidate is still working for the family from an earlier placement?

Ask about timing and confidentiality before contacting that employer. Do not reveal the candidate's search to the current family without permission. Explain what references can be checked now, what may have to wait until a later stage, and whether the agency can proceed under its documented screening standard.

04

How should the agency explain a reference gap to a new family?

State what has been verified and what remains outstanding without implying that the current employer has endorsed the candidate. Agree on a point in the process when any remaining reference check must be completed before a final decision.
